In Exchange 2010, all correspondence history is automatically grouped into email threads. This innovation allows you to significantly save time on searching and reading related letters during long correspondence. If you do not want to participate in any correspondence, the service provides the opportunity to refuse a certain chain.

  • Microsoft Exchange Server 2016 is the latest solution for corporate email and employee communication. Exchange Server has become almost the standard for corporate email systems. From our own experience, we can say that over the past 3 years, LanKey has completed more than one migration project to Exchange Server from products such as IBM Lotus Domino, Alt-N Mdaemon, various Linux-based servers, as well as from hosting providers. At the same time, during all this time there was not a single request to switch from Exchange Server to something else.

Why are more and more customers choosing Microsoft Exchange, and what is its main difference from its competitors?

For quite some time now, company employees have needed something more than just receiving and sending email. Users want to have a database of contacts of colleagues and clients, they want to schedule meetings and meetings, management wants to assign tasks to subordinates and monitor their implementation. A dynamically developing business requires a more rapid response to customer requests, so employees need access to mail not only at the workplace, but also from home, while on a business trip or even on the road. At the same time, the requirements for information security. Management wants to be sure that confidential correspondence will not fall into the hands of strangers, and employees want to receive less spam and viruses. Large companies require that employees of all branches have the same functionality of corporate mail and can easily move between offices. The implementation of Exchange Server 2016 will help solve all these problems.

    Microsoft Exchange Server 2016

Microsoft Exchange Server 2016 is a business-class corporate email system that, in addition to the capabilities of the mail server, provides users with a wide range of collaboration tools, such as: calendars, tasks, shared contacts and address books, public folders accessible through Outlook, in which they can Various general documents and mail can be posted.

    Exchange Server 2016 role structure

Implementing Microsoft Exchange Server 2016 will provide the following benefits:

    1) Unified user environment. A single interface on your computer and browser. The new Outlook Web App (OWA) provides an interface similar to the regular Outlook that all users are accustomed to. Now full access to mail can be obtained through Internet browsers Explorer, Firefox and Safari. By implementing Exchange Server 2016, employees will receive a single mailbox for email, voice mail, faxes and SMS. Listen voicemail It will be possible directly through Outlook. Each user can set up their own answering machine.

Web access to MS Exchange from Outlook Web App (OWA)

Access MS Exchange from Outlook 2016

    2) Increased user productivity. Every day, users have to process dozens or even hundreds of emails, which takes a lot of time. A lot of time is spent searching the required letter, it is difficult to find who wrote to whom and when. With a large number of letters, it becomes difficult to trace the correspondence. The new OWA in Exchange Server 2016 (as well as Outlook 2016) groups conversations into message threads and instead of displaying dozens of messages received at different times and scattered in different folders, only one item is displayed. By expanding this element, the user sees the entire correspondence at once.

Example of grouping messages into a thread

In addition, when creating a letter, the user is given special tips (MailTips). When creating a new message, information is displayed about possible restrictions on the size of the letter if the user has exceeded it, information about the availability of contacts to whom the user is sending the letter, prohibitions on sending to these recipients, etc. Previously, when a user, for example, sent a letter whose size exceeded the allowable size, the letter was sent from Outlook, then the mail server received an overly large letter, deleted it, and then sent the user a notification about the error and the impossibility of delivering the letter. Users, in turn, without understanding the essence of the error, began to call the support service. As a result, while the problem was being resolved, it took a lot of time, and an important letter might not reach the recipient for quite a long time. Now, even when creating a letter, the user can see whether it complies with the rules and policies and whether it will be delivered without errors.

An example of a tooltip indicating that the attachment size has been exceeded

Thus, thanks to the implementation of Microsoft Exchange Server 2016, company employees will be able to save up to 20% of the time spent on mail processing.

    3) Universal access. Exchange Server 2016 provides users with truly ubiquitous access, regardless of whether a person is in the office, at home, on a business trip or on the road, he will always be able to receive and send mail, make and accept calendar appointments, and view contacts of clients and colleagues. In the office, an employee works with his regular Outlook; at home, he can use web access (OWA) or again use regular Outlook using Outlook Anywhere. In the same way, the user can connect to mail from any Internet cafe or hotel. In this case, the person does not need to set up any VPN connections, and all traffic will be encrypted. In addition, Exchange 2016 allows you to work with mail using regular phone. You can simply call Exchange Server 2016, dial the PIN in tone mode, and listen to your incoming mail (Exchange will read it by voice), accept or decline calendar appointments, and even find people in address book. This feature is called Outlook Voice Access (OVA).

    4) Mobile access. The mobile access provided by Exchange Server 2016 requires a special mention. ActiveSync technology developed by Microsoft has become the standard for accessing mail with mobile devices. This protocol allows employees to see all of their corporate mail, contacts, calendar and tasks directly on their mobile device. At the same time, thanks to DirectPush technology, users do not need to check mail manually; it arrives on the device itself, similar to how an SMS is received. As soon as a new letter arrives at a corporate mailbox, it immediately ends up in mobile phone. Synchronization of phone contacts and your contacts on the Exchange mail server also occurs. ActiveSync is supported by almost any smartphone or communicator based on Windows Mobile, Symbian, iPhone OS. So, for example, you will be able to use HTC smartphones, Samsung, Nokia, Apple iPhone, Sony Ericsson, Motorola, Gigabyte, Asus, HP, Acer, etc. Employees can travel around the world, staying connected, receiving and processing email messages. Additionally, using communicators running Windows Mobile 6.1 and older, users can send and receive SMS messages directly from Microsoft Outlook 2016 or OWA.

    5) Information protection. Exchange Server 2016 provides extensive email security capabilities. Exchange is built by design to use the most secure means of authenticating domain users. Interaction with the Active Directory directory service occurs using the Kerberos protocol. For more safe work smart cards or biometric authentication systems may be used. All external communications, access via WEB or using mobile devices are encrypted using the SSL protocol. In addition, users can use S/MIME technology to encrypt and sign the email messages themselves. Encryption is available both from Outlook and via WEB or mobile access. Microsoft Exchange Server 2016 supports IRM (Information Rights Management) technology, which helps protect confidential Microsoft documents Office. Using IRM, you can, for example, prohibit the sending of confidential documents outside the enterprise, prohibit their viewing and printing by persons who do not have the right to do so. In addition, mailbox retention policies for emails can be set for all users of the enterprise, so that employees will not be able to delete their email (in whole or in part) for some time or other rules. Exchange 2016 allows administrators to search for emails across all mailboxes at once, which can be very useful, for example, when investigating information security incidents. Exchange 2016 provides email moderation capabilities. If a user sends an email that meets certain criteria, it will not reach the recipient until it is approved by the system administrator or other responsible person.

    6) Anti-virus and anti-spam protection. Exchange Server 2016 already comes with fairly good anti-spam protection capabilities as standard. But the main advantage of Exchange is that there are many very good anti-virus and anti-spam products developed for it. So we can highlight the products GFI MailEssentials and GFI MailSecurity. The main advantage of the last two anti-virus products is that several anti-virus engines can be used simultaneously to scan email. Among them: Kaspersky, McAfee, BitDefender, AVG Antivirus, Norman, etc. In addition, anti-virus scanning can occur on three levels: on edge servers (Edge Transport), on internal routing servers (HUB Transport) and on database servers (Mailbox). This way, Exchange Server can provide best-in-class email antivirus protection. And according to statistics, email is the main source of viruses.

All of the above indicates the great benefits of implementing Exchange Server 2016 from a user's point of view. But MS Exchange carries considerable benefits that are hidden from the eyes of users.

High degree of integration into infrastructure

Exchange Server 2016 is a highly integrated communications platform. And if your company’s IT infrastructure is built on software Microsoft support, then you will receive maximum benefits, maximum safety and greatest ease of operation. Exchange is completely based on the directory service (domain) Active Directory; you do not have to create users twice in the domain and on the mail server separately. System administrators will not have to configure user workstations; Outlook 2013 and Outlook 2016 will connect to the Exchange server themselves and will be configured automatically using Autodiscover services. Exchange Server 2016 integrates with Forefront Threat Management Gateway 2013 (formerly ISA Server), providing the highest level of security against external threats. Exchange integrates with products such as Microsoft CRM and SharePoint, and the combination of Microsoft Exchange Server and Microsoft Office Communications Server provides a powerful Unified Communications solution.

    Unlimited scalability

Exchange Server 2016 has virtually unlimited scalability and can connect hundreds of thousands of users under one email domain. An organization can have an unlimited number of mail servers installed; the servers themselves can be scattered geographically all over the world; each server can contain mailboxes for different users. Moreover, administrators will not have to configure mail routing; Exchange will do this automatically based on the topology of Active Directory sites. Like Exchange Server 2013, Exchange 2016 has a role-based model that allows for even more load balancing and increased administrative flexibility.

    High availability and fault tolerance

Email is a critical service for almost every company, but for some companies mail is a service on which business processes directly depend. Even an hour of email downtime can cost tens or even hundreds of thousands of dollars. These companies include banks, stock exchanges, insurance companies and many other enterprises in the financial and manufacturing sectors. To ensure 24/7 availability of the corporate email system, LanKey implements Exchange Server 2016 clusters, which ensure availability of 99.999% of the time or more.

Starting with Exchange Server 2007, powerful clustering and replication technologies (CCR, SCR, LCR and SCC) were introduced. In Exchange Server 2016, all these technologies have been replaced by one, even more advanced technology - DAG (Database Availability Group). This technology allows you to replicate mail databases between cluster nodes. And in case of failure hard drive, array, or even an entire server containing an active database, the passive copy will instantly come into operation. At the same time, users will not experience a single second of downtime, they will not even know that the mail server is out of order, and will continue to work quietly.

Exchange Server 2016 Fault Tolerant Infrastructure Example

The main difference between DAG and previous technologies, such as CCR, is that each active database can have up to 16 passive (backup) copies, all cluster nodes can be active, and can contain several active and several passive copies of mail databases. Now, even when using a DAG with the Mailbox role, you can install the Client Access, HUB Transport, and Unified Messaging roles.

Reduce hardware, software and maintenance costs

No matter how paradoxical it may be, even if you already have Exchange Server 2013 or, especially, Exchange Server 2007 deployed, switching to Exchange Server 2016 will allow you to save direct costs on equipment, software and IT infrastructure support.

Reduce equipment costs. In Exchange Server 2016, the I/O system for accessing the disk subsystem has been significantly redesigned. Thus, it was possible to reduce the load on disk subsystem compared to Exchange Server 2007, and 50% compared to Exchange Server 2013. And if earlier the mail database required expensive disk drives RAID arrays 10 based on SCSI or SAS disks, now you can get by with simple SATA drives, combined into RAID 5 arrays. In addition, previously, building an Exchange Server 2003 cluster required a SAN storage network and iSCSI or FC disk arrays, which cost tens of thousands of dollars. Also, in such a cluster there was a single point of failure - the disk array itself. Of course, it was possible to purchase fault-tolerant arrays with hardware data replication, but these costs are already on the order of hundreds of thousands of dollars. All this is no longer required if you implement a cluster based on Exchange Server 2016. DAG technology itself provides data replication and does not require a SAN or shared storage network at all. disk array. And a simple shared folder. But even if we take a CCR cluster based on Exchange Server 2007, it turns out that one server is active, and the second server is passive. Those. you bought 2 powerful servers, and 99% of the time only one worked, and the second simply stood idle, consuming electricity. In Exchange Server 2016, when using DAG, all servers are running simultaneously and are active.

Reduce software costs. Previously, to build an Exchange Server 2007 cluster, it was necessary to purchase at least 2 Exchange Server 2007 Enterprise Edition, costing about $4000 each, for the Mailbox role and 2 Exchange Server 2007 Standard Edition costing $700 each for the Client Access and HUB Transport roles. Now an Exchange Server 2016 cluster can be built on top of Exchange Server 2016 Standard Edition. In addition, now all roles can be combined on one server, and in fact a cluster can be built by purchasing just 2 Exchange Server 2016 Standard servers for $700 each (when using a software or hardware load balancer for the Client Access role).

Reduced maintenance costs. As mentioned above, Exchange Server 2016 has a number of features that take the load off system administrators. For example, Mail Tips tell the user about problems or possible errors, even when creating a letter, before sending it. This can significantly reduce the number of support calls. By implementing MS Exchange Server, users will be able to recover by mistake deleted messages without contacting the system administrator to restore their email from backup copy. In Exchange Server 2016, a special ECP (Exchange Control Panel), which allows users to change their domain password, view delivery reports for messages sent and received, create and manage mailing groups, and manage their smartphones. And all this can be done without the participation of a system administrator. Every day, the support service receives requests that an employee was sent a letter, but it did not arrive, or, on the contrary, the user sent a letter to a client, but he did not receive it. In Exchange Server 2016, users can view the delivery report themselves and see what happened to their email. It is often difficult to ensure that employees use the company's standard signature form on emails. In Exchange 2016, system administrators can set up dynamic email signatures for all employees at once. For example, HR staff can be delegated to manage contact information.

Implementation of Microsoft Exchange Server 2016

Exchange Server 2016 is quite a complex product, and its implementation, contrary to some opinions, is somewhat more complicated than running setup.exe and clicking a few “Next” buttons. Deploying Exchange Server 2016 in an enterprise with a large number of users and a large number branches requires certified specialists with extensive experience in participating in similar projects. In addition to developing the MS Exchange server infrastructure itself, appropriate planning of the Active Directory domain structure and site topology is required, because Exchange is directly dependent on the functioning of domain controllers and global catalog servers. When developing fault-tolerant cluster configurations, you need to consider huge amount factors affecting the performance of the postal system. Because create a system that does not have single point refusal is not an easy task. And you need to understand that just a deployed Exchange Server 2016 cluster is not a panacea for all problems. So, for example, you can invest several thousand dollars in building an Exchange cluster, and your system will be disabled for a day by a burned-out switch or UPS. It is for these reasons that companies assign the task of deploying Microsoft Exchange Server to system integrators. But here we must not be mistaken; not all system integrators can efficiently deploy a corporate mail system based on Exchange Server. You should make sure that the system integrator is certified to perform this type of work, and also make sure that he has a portfolio of successfully completed similar projects.

LanKey is a certified system integrator, is a Microsoft Gold Certified Partner and has the Gold Messaging competency, which confirms our highest experience and professionalism in the implementation of Exchange Server 2016. Microsoft certified engineers with MCSE Messaging status take part in projects and MCITP Enterprise Messaging Administrators.

LanKey also offers migration services to Exchange Server 2016 from previous versions and other email systems such as Novell GroupWise, IBM Lotus Notes or Linux-based email servers. System integrator LanKey includes a department service, which also provides IT outsourcing services for corporate mail systems based on Exchange Server 2016. The LanKey company is ready to provide maintenance, support and maintenance of your corporate mail system.

Exchange Online is a cloud service offered by Microsoft as part of Office product 365. Like other Office 365 services, it was designed to provide customers with reliable, trouble-free IT services that eliminate the costly and insecure on-premises deployment of IT infrastructure. Exchange Online provides single sign-on into the Single Sign On service, synchronizes with Active Directory, provides an excellent opportunity to scale and change configuration - economically and “painlessly”.

Microsoft Exchange Online enables organizations to leverage the power of Exchange without on-premises deployment and maintenance, or to combine on-premises and online services if necessary, a hybrid deployment. For example, in large industrial enterprises, some of the equipment requires local hosting of services, while computers not used in production can be serviced in the cloud.

    Exchange Online Features and Benefits

Overall, Exchange Online has almost all the same benefits as others cloud services Office 365:

    Data transmission security

Microsoft uses in its cloud solutions ultra-reliable data security methods:

    • SSL (Secure Sockets Layer - level of secure sockets) is a protocol that provides a secure connection between a client and a server. Confidentiality of data exchange is ensured through encryption using a special algorithm. Anyone who intercepts the data transmission receives only the encrypted code.
    • TLS (Transport Layer Security - transport layer security) is a modernized version of the SSL protocol. IN this protocol Additionally, special algorithms are used to ensure the confidentiality and safety of the information flow.

    Intrusion control

Microsoft monitors for any suspicious activity in the cloud that could be an intrusion attempt. For each such fact, an internal investigation is conducted. If penetration actually occurs, the company notifies the client and takes appropriate measures to minimize risks and compensate for damage.

    Security audit

Microsoft ensures your infrastructure is highly protected by using the latest antivirus subscriptions and regularly updating your protection.

    Continuous access to data

All Microsoft Office 365 services guarantee 99.9% access to data at any time and from anywhere in the world where the Internet is available. If the agreed quality level (SLA) is not met, Microsoft will compensate the customer financially.

    PortalMicrosoft Online Services

Microsoft Online Services is the action center in Office 365. Here users can find online help, launch SharePoint, Outlook, Web App (the configuration and availability of services depends on the needs of the company). Administrators manage users and services through the portal and gain access to the necessary tools and settings.

    Directory Synchronization Tool

This tool allows you to synchronize cloud services with existing local Active Directory.

    Remote administration

Microsoft Windows PowerShell™ allows administrators to remotely configure the system and automate processes using scripts. For example, tasks such as creating account, password reset, license assignment, can be fully automated.

    Single Sign On

Administrators can configure their own Active Directory with Microsoft Federation Services. All Office 365 users can then use their existing login credentials - they will be automatically authorized into Office 365.

Each Exchange Online subscription plan can be purchased as a standalone product or as part of Office 365. Each Office 365 plan includes Exchange Online, but the features will vary.

    Custom mailboxes

Mailbox capacity is determined by the user's subscription. For special box types, such as shared mailboxes and conference rooms, you can change the volume limits.

*Office 365 administrators can use remote PowerShell to reduce the mailbox size of all users or just one user.

Warnings when a user's mailbox is approaching their data limit

Exchange Online provides three notifications to let users know when their mailbox is approaching its data limit:

    Warning

    Users receive a warning email.

    Prohibition on sending mail messages

Users receive an email informing them that a ban on sending correspondence from this mailbox has entered into force, due to the fact that the amount of data on it has approached the maximum permissible value. The user will receive a corresponding non-delivery report (NDR) from the system.

Prohibition on sending and receiving mail

Exchange Online rejects incoming mail when the data limit in a user's mailbox is reached. Users will not be able to send or receive correspondence until they free up some mailbox space.

*Remote PowerShell allows Office 365 administrators to change the default quotas, which trigger one of three warnings and restrictions.

The following table shows the default mailbox limits:

    Message Size Limits

Message size limits are required to prevent large message forwarding from affecting system performance and to ensure fast delivery to all users. Message size limit is a default global variable that applies to all messages, both incoming and internal. It is 25 MB.

*The message size limit value does not change, but administrators can additionally create a transport rule that limits maximum size file attachment.

    Message limits

Exchange Online provides restrictions on the number of messages and letters sent: messages can be sent to no more than 10,000 recipients from one mailbox, emails can be addressed to no more than 500 recipients per day. These limits are set for both internal and external correspondence.

*A group of mailboxes in the Exchange Online Global Address List is counted as a single recipient by the system, but in personal groups, each recipient is counted separately.

Exchange Online customers who need to send correspondence by mail (for example, newsletters) should contact third-party providers of these services.

To prevent excessive system resource consumption, Exchange Online also limits the number of messages a user can send per minute to a maximum of 30 messages. If the limit is exceeded, Exchange Online will transmit the messages, but will adjust the delivery rate: they will be queued for sending on the server.
